Employment Application Data Privacy Statement

This statement is to notify you of the practices that will govern the processing of personal information that you decide to provide on your application form and to obtain your consent for the use of this personal information consistent with this notice.

The collection of personal information on your application is made exclusively to enable HR to examine the fit between the job description and person specification and the requirements of a position. Victim Support NI does not use the information that you provide in any discriminatory way and conducts its selection process according to objective criteria.

This privacy statement does not apply to information that Victim Support NI collects through other means (e.g., if you request information about Victim Support NI services from another area of the Victim Support NI website) or to information collected on any other company or third-party site regardless of whether such site links to or is accessible from this site. You should carefully read the privacy statement of any other website.

How does Victim Support NI collect personal information?

Victim Support NI obtains personal information about you when you decide to provide information to it through your employment application form. It is not necessary to provide any employment application information to view job openings. It is only required when you complete and submit your application.

What personal information does Victim Support NI collect?

Victim Support NI requests your name, address, city, country, postcode, telephone and email address. We also request information regarding your job preferences, current and prior employment, referral source, competencies, education and professional qualifications. Additionally, because we are based in Northern Ireland, we have a statutory requirement to request perceived community background as optional information which is used for Fair Employment reporting. This is linked back to you as a job applicant only by a reference number which appears on both the monitoring form and the application form.

Where is your personal information stored?

This information is held securely within the HR department and in accordance with our Data Retention Policy.

Does Victim Support NI collect technical information and user electronic mechanisms such as ‘Cookies’?

Victim Support NI does not use electronic mechanisms such as “cookies” at this site; however, this site is hosted by a third party that hosts and manages the application and technical infrastructure.

How does Victim Support NI use the personal information that you decide to provide?

The personal information you provide will be used to evaluate your qualifications, and fill job opportunities. If you are chosen for a particular job opportunity, Victim Support NI will retain this information and process it in relation to your employment with us. We do not transfer your data to other countries or jurisdictions.

So that you may be eligible for other suitable job opportunities, your information will be retained on our system for up to one year, unless you choose to ask for your information to be deleted (please see below for details of how to request for this to be done).  Victim Support NI may contact you should another job opportunity come up which may suit your background and interests if you are held on a reserve list.

Victim Support NI will use the contact information to reach you regarding receipt of information from you and other employment related communications. Your email address will be used to identify you and as a first point of contact. The optional self-identification information will not be used in connection with consideration for employment, and will only be used when applicable laws require processing this information for government reporting.

In addition, the personal information that you provide may be de-identified (rendered anonymous) and used, for example, to allow Victim Support NI to better understand the aggregate characteristics of those who are applying for jobs at Victim Support NI.

How does Victim Support NI safeguard personal information?

Victim Support NI takes reasonable measures to prevent the misuse, loss, unauthorised access, disclosure or modification of the information that you provide. Victim Support NI also limits access to your personal information to those professionals within the organisation and third parties who have a legitimate interest in such information (e.g., Human Resources professionals, managers seeking applicants with particular qualifications).

Will Victim Support NI disclose the personal information that you decide to provide?

Victim Support NI will share the personal information collected with us and third parties duly authorised in connection with the legitimate business purposes of Victim Support NI to review your information in order to consider your qualifications for a position, e.g. for reference checks or checking qualification validity and equivalences. If Victim Support NI employs you, we will share the information with third parties acting on behalf of us to process the information for personnel, administrative or other purposes related to your employment. Notwithstanding the above disclosures, we will disclose personal information when required or permitted by law.
